Our analytics provider processes information about website use, as described in Section 5.
Sensitive personal information
Please do not submit Social Security numbers, government identification numbers, financial account information, medical information, or other sensitive personal information unless Talenso specifically requests it for a lawful and necessary purpose. If a client requests a reference, background, work-authorization, or other pre-employment check, Talenso will inform the candidate before initiating the check and obtain any authorization required by law. Such checks may be conducted by an approved third-party provider under separate disclosures and authorizations.
4. How website inquiries are processed
Information submitted through our website is processed by a third-party website form provider and delivered to Talenso. The form provider may retain a copy for a limited period for delivery, security, spam prevention, troubleshooting, and account administration. Talenso may use workflow tools to send an automated acknowledgement related to the inquiry.
After delivery, the information may be stored in Talenso's cloud-based email, productivity, document-management, and recruiting systems. The public website itself does not maintain a candidate database. Relevant candidate information may later be entered into our cloud-based applicant tracking or recruiting software.
5. Cookies and online tracking
We use a third-party analytics service to understand how visitors use our website and to improve its content and performance. The service uses cookies and similar technologies and may process information such as pages visited, approximate location, referral source, time spent on the site, device and browser type, and interactions with the site.
We use analytics for measurement and site improvement, not for cross-context behavioral advertising. We do not combine analytics information with candidate or client records or use it to identify visitors directly. We do not use advertising cookies.
You can limit or prevent analytics cookies through your browser settings and can delete cookies already stored on your device. Blocking cookies may affect some website functions.
California online tracking disclosure
Some browsers offer a Do Not Track setting. Because there is no universally accepted standard for responding to Do Not Track signals, our website does not currently respond to them. Our analytics provider may process website-use information on our behalf as described above. Talenso does not sell personal information or share personal information for cross-context behavioral advertising.
6. How we use personal information
Respond to inquiries, send acknowledgements, and schedule conversations.
Understand client hiring needs and provide executive search, technical talent search, and staffing services.
Identify and contact candidates about opportunities that may be relevant to their experience and interests.
Assess professional experience and prepare interview, search, and candidate-recommendation documentation.
Present a candidate to a specific client only after identifying the client and obtaining the candidate's authorization to be represented for that opportunity.
Maintain, update, and periodically confirm candidate profiles and communication preferences.
Manage client and candidate relationships, contracts, assignments, invoicing, and business records.
Operate, secure, analyze, and improve our website, systems, and services.
Comply with legal obligations, resolve disputes, prevent misuse, and protect Talenso, our clients, candidates, and others.
7. How we share personal information
We do not sell personal information or share it for cross-context behavioral advertising.
We may disclose personal information in the following circumstances:
Clients: We share a candidate's profile with a client only after identifying that client to the candidate and obtaining authorization for that specific opportunity.
Service providers: We use providers that support website hosting, website forms, cloud-based email and productivity, recruiting software, document management, video conferencing, workflow automation, analytics, security, and other business functions. They may process information on our behalf under appropriate confidentiality and data-protection terms.
Screening and verification providers: If a client requests an additional reference, background, work-authorization, or similar service, information may be shared with an approved provider after required notice and authorization.
Legal and safety purposes: We may disclose information to comply with applicable law, respond to lawful requests, enforce agreements, investigate misuse, or protect rights, safety, and property.
Business transfers: Information may be transferred in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable protections.
8. Automated tools and meeting recordings
Talenso does not currently use automated systems to rank, score, filter, reject, or make decisions about candidates. Talenso personnel evaluate candidates and prepare recommendations, and clients make their own hiring decisions.
If Talenso uses an approved tool to record, transcribe, or summarize a candidate conversation, we will notify the participants before recording begins and obtain any consent required by law. A person will review resulting notes or summaries before they are used. Candidates may decline recording without affecting their consideration for an opportunity, in which case Talenso may take written notes instead.
9. Where information is processed
Talenso is based in the United States and currently provides services for primarily US-based positions and candidates. Personal information is stored and processed in the United States and may be processed by service providers in other locations where permitted by law and subject to appropriate protections.
10. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes described in this policy and to meet legal, contractual, accounting, and dispute-resolution obligations.
Website form submissions: A website form provider may retain a copy for a limited operational period. Talenso intends to configure or manage the provider so that successful submissions are not retained there longer than reasonably necessary.
General candidate profiles: We generally retain candidate information for up to two years after the most recent meaningful interaction. We may contact the candidate periodically to confirm continued interest, update the profile, or ask whether Talenso should continue retaining it.
Search and referral records: Records connected with a specific search, submission, referral, interview, placement, or assignment may be retained for four years or longer where required by employment-agency, contractual, dispute-management, or other legal obligations.
Client and business records: We retain contracts, communications, billing, tax, and related business records for the period required by law and legitimate business needs.
Recordings: If meeting recording is introduced, raw recordings will generally be deleted within 90 days after a written record has been prepared and checked, unless a longer period is reasonably necessary and disclosed.
Legal holds: We may retain relevant information longer when needed for a complaint, dispute, investigation, legal hold, or enforcement of an agreement.
Contact suppression: If someone asks us to stop contacting them, we may retain limited information needed to honor that request and prevent unintended future contact.
11. How we protect information
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. These include limiting access according to business need, using reputable cloud service providers, and applying appropriate account, authentication, and security controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Your rights and choices
You may ask Talenso to provide access to, correct, update, or delete personal information we maintain about you, or to stop contacting you about opportunities. We will respond in accordance with applicable law and may retain information where required for legal, contractual, recordkeeping, security, dispute-resolution, or suppression purposes.
Depending on where you live and whether an applicable privacy law covers Talenso, you may have additional rights, including rights to know about personal information practices, request deletion or correction, and avoid discrimination for exercising privacy rights. Talenso does not sell personal information or share it for cross-context behavioral advertising.
To make a request, email connect [at] talenso.com. We may take reasonable steps to verify the request and may ask an authorized agent to provide proof of authority.
13. Communications preferences
You may ask us at any time to stop contacting you about opportunities. Periodic profile-refresh or opportunity communications will include a reasonable method to unsubscribe or update your preferences. Operational communications about an active inquiry, search, interview, placement, assignment, or legal matter may continue where appropriate.
14. Children
Our website and services are intended for professionals and are not directed to anyone under 18. We do not knowingly collect personal information from anyone under 18 through the website.
15. Links to other websites
Our website may link to third-party websites and services. Their privacy practices are governed by their own policies, not this Privacy Policy.
16. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our services, practices, technology, or legal obligations. We will post the updated version on this page and revise the effective date.
